If your fleet has been selected for an audit, the way you prepare will shape the result. A well organized audit can protect your safety rating. A poorly handled one can cost you contracts, raise your insurance, and put your operating privileges at risk. Compliance Mentorz provides MTO audit representation for commercial carriers across Canada. We get your records ready, deal with the auditor, and stand beside you from the first notice to the final result, whether you are facing an Ontario MTO facility audit or a United States DOT compliance review.
An auditor wants proof that you run a safe and well documented operation. During an MTO facility audit or a DOT review, expect a close look at:
• Driver qualification files, including licences, abstracts, medical records, and training
• Hours of service records and ELD data, usually covering the last several months
• Vehicle maintenance schedules, repair records, and daily inspection reports
• Collision and incident records, with proof of how each one was handled
• Your drug and alcohol testing program, which carries extra weight in DOT reviews
• Written safety policies and evidence that your drivers actually follow them
Auditors normally review six to twelve months of records. Gaps, missing signatures, and late entries are the small problems that add up to a low score.
An MTO facility audit feeds directly into your CVOR safety rating, and that rating is public. A failed audit can drop a carrier to a Conditional rating that stays in place for at least six months. Insurers and shippers can see it, which often means higher premiums and lost freight. At the most serious level, an Unsatisfactory rating can suspend your ability to operate. This is why an audit is never just paperwork. It touches your insurance, your contracts, and the future of the business.
• We start with an internal review, a mock audit that finds the gaps before the real auditor does
• We organize and correct your driver files, logs, and maintenance records so they are ready to present
• We prepare you and your team for the questions the auditor will ask
• We attend the audit and speak with the auditor on your behalf
• We help you respond to findings, build any required corrective action plan, and support an appeal if you need one
With offices in Brampton, Calgary, Surrey, and Edmonton, we provide facility audit help to carriers in Ontario and across the western provinces, both in person and remotely.
